The Caption Admin Role

TECHSMITH RELAY

Having Caption Admin privileges is one way a TechSmith Relay user can add closed captions other users' videos. Read on to see if this solution could be a fit for your institution.

Overview

Site Administrators can grant users the role of Caption Admin within the TechSmith Relay system. This role is best suited for a trusted individual in your organization who will either be captioning videos belonging to many other users or managing the captioning assignments of several other caption editors. Caption Admins can:

  • View all non-private videos in the system which have entered the captioning process.
  • Add, edit, and publish captions for any non-private video in the system.
  • Assign users to caption specific videos.
If the Caption Admin role isn't an option for you, video owners can also assign specific videos to other users for captioning. See how.
 
 

Captioning Another User’s Video as a Caption Admin
 

First, log in to TechSmith Relay and select the Activity tab.

Here, a Caption Admin can see a list of all videos in TechSmith Relay that have entered the captioning process. The “In Progress” filter (default) lists videos where the captioning process has been started, but captions have not yet been published. This can serve a general list of work to be done.

“In Progress” videos include:
  • Videos for which TechSmith Relay is currently generating speech-to-text captions (Status: "Processing").
  • Videos that have existing, but unpublished, captions (blue "Edit Captions" button displayed).

Finally, find the video you’d like to caption and click the Edit Captions button. This will launch an editing session for the chosen video. (For help using the caption editor, see the Add and Edit Video Captions tutorial.)

Assigning Users to Caption Videos

Caption Admins can also assign any user to caption specific videos in the system. This can be done from either the Activity tab or from the video view page.
 
 

Adding an Assignee from the Activity Tab:
 

1. Select the video(s) you want to assign to a specific user for captioning.

2. Under the Actions menu, select Add/Change Assignee.

3. Click Apply.

A dialog box will appear. Enter the email address* of the user you wish to assign the selected videos. Then click Apply.

*The assignee must already have a TechSmith Relay account to be assigned videos for captioning. The assignee does not, however, need to be a Caption Admin. They will receive an email letting them know videos have been assigned.
 

 

The assignee’s name will appear next to the specified video(s) in the Activity tab.

Note: Each video may only have one assignee and assignees can be edited by other Caption Admins, Site Admins, and the video owner.
 
 
Any user can choose the “Assigned to Me” filter from the Activity tab to see the list of their assigned videos.

Tip: If you’re planning on captioning multiple videos, you may want to assign those videos to yourself. Then, the Assigned to Me filter can serve as a to-do list.

 

Adding Assignees from the Video Page:
 

On the video page, select Closed Captioning from the video options.

Click the Add Assignee button.

A dialog box will appear. Enter the email address* of the user you'd like to assign as the caption editor. If you'd like to generate speech-to-text captions, check the option below the email address field. Then click Apply.

*The assignee must already have a TechSmith Relay account to be assigned videos for captioning. However, the assignee does not need to be a Caption Admin. They will receive an email to let them know a video has been assigned. If you choose to generate speech-to-text captions, the assignee will receive a separate email when the generated captions are ready for review. 
 
 

Removing Assigned Users

  1. From the Activity tab, select the video(s) you want to remove the assigned user from.
  2. Under the Actions menu, select Remove Assignee.
  3. Click Apply.

    A dialog box will appear. Click Remove to remove the assignee (or Cancel if this was done in error).
