The Caption Admin Role

(Enterprise Only)

Learn to manage privileges so users can add captions and audio description tracks to other people's videos.

Overview

Site Administrators grant users the role of Caption Admin within the Knowmia system. This role is best suited for a trusted individual in your organization who will either be captioning videos belonging to many other users or managing the accessibility assignments of other users. Caption Admins can:

  • View all non-private videos in the system which have entered the captioning process.
  • Add, edit, and publish closed captions for any non-private video in the system.
  • Manage accessibility assignees.
  • Manage the Audio Description Track for any non-private video in the system. (Learn more)
  • Approve 3rd Party Captioning requests (Requires a 3rd Party Captioning integration. (Learn more)

Captioning Another User’s Video as a Caption Admin

  1. Log in to Knowmia and select the Activity tab.

  2. Select the In Progress filter (default) from the View dropdown to display videos where the captioning process has been started, but captions have not yet been published.

Note: “In Progress” videos include:

  • Videos for which Knowmia is currently generating speech-to-text captions (Action: Processing).
  • Videos that have unpublished captions (Action: Edit Captions button is available).

  1. Locate the video to caption and click the Edit Captions button. This will launch an editing session for the selected video. (For help using the caption editor, see Add and Edit Video Captions). Edit caption button in activity tab

Managing Accessibility Assignees

Caption Admins can also assign any user to manage the accessibility options for a given video. This can be done from either the Activity tab or from the view page.

Adding an Assignee from the Activity Tab:

  1. Select the video(s) you want to assign to a specific user for captioning.
  2. Under the Actions menu, select Add/Change Assignee.
  3. Click Apply.

  4. A new dialog appears. Enter the email address of the user you want to give caption editing privileges and click Apply.

*The assignee must already have a Knowmia account to be assigned to a video. The assignee does not need to be a Caption Admin. They will receive an email letting them know videos have been assigned.

The assignee’s name will appear next to the specified video(s) in the Activity tab.

Note: Each video may only have one assignee and assignees can be edited by other Caption Admins, Site Admins, and the video owner.

Any user can select the Assigned to Me filter from the Activity tab to see the list of their assigned videos.

Add an Assignee from the View Page

  1. Open the video you want to caption.

  2. On the video watch page, select the Accessibility tab.

Note: The Accessibility tab is not available for videos added via YouTube.

  1. Click Add Assignee.

  2. Enter the email address of the user you want to give caption editing privileges and click Save. To generate speech-to-text captions, select the corresponding box below the email address.

*The assignee must already have a Knowmia account to be assigned videos. They will receive an email letting them know a video has been assigned. If you choose to generate speech-to-text captions, the assignee will receive a separate email when the generated captions are ready for review.

Removing Assigned Users

  1. Click the Activity tab and select the video(s) you want to unassign from a user..
  2. Select Remove Assignee in the Actions dropdown
  3. Click Apply.

  4. In the dialog box, click Remove to remove the assignee’s editing privileges.
